Check requirements

Check that you have all the relevant information to start setting up.

Necessary


  • Registration details
  • A complete list of the domains you want to add
  • A complete list of mail addresses to add per domain, including mailbox types (distribution list, shared mailboxes, regular) and whether the mailbox should be filtered for spam.
  • Outgoing user information (username and password or IP/range authentication or domain name and password authentication)
  • Access to DNS, with permissions to update SPF and MX records
  • Access to your firewall, if available
  • Access to your local mail server to configure the SMTP smart host (e.g. Exchange, M365, G-Suite or others)

  • A list of domain aliases that are added to the primary domains
  • A list of mailbox aliases to be added to the primary mailboxes

Logging in to the Admin Panel

Configure and activate incoming filtering
  1. Configure your firewall
    In our FAQ article "How can I set that only messages from the EuropeanMX cloud are accepted?" you can find help on which settings you have to make in your firewall.
  2. Configure filter settings for mailboxes
    To find out what settings you can configure for your mailboxes, please refer to our FAQ article "What settings can I make with regard to my mailboxes?".
  3. Configure domain settings
    In our FAQ article "Which settings for incoming filtering can I make for my domain?", you can find a description of the setting options for your domain.
  4. Create additional email users
    You can grant your e-mail users their own access to the admin panel, where they can view their own incoming queue, quarantine and messages if the target server is not available. More information on this topic can be found in our FAQ article "Is there a user administration?".
  5. Adjust the DNS settings for your domain
    This should definitely be the last step before you start with the incoming filtering, otherwise we might not be able to deliver the incoming and checked messages to you. Make sure that you have gone through the previous steps and instructions and followed them. In our FAQ article "What are MX records and which ones should be used for incoming filtering?", you can find all the necessary information for changing over your MX records.

Configure and activate outgoing filter (OPTIONAL)

Please note: To prevent abuse we have decided to deactivate the outgoing filter by default. Please inform our support if you want to send your messages via our servers. We will gladly activate the outgoing filter for you.

  1. Create outgoing user
    You need an outgoing user to send messages via our cloud. For instructions on how to create an outgoing user, please see our FAQ article "How do I set up an outgoing user?".
  2. Specifying an administrator contact (OPTIONAL)
    Under "Outgoing" > "Settings" you can specify a contact address to which we send so-called ARF reports. These should help you to react as quickly as possible to spammers in your network. You can find more information about ARF reports in our FAQ article "What is an ARF report? How can I set it up? Why do I receive such messages?".
  3. Set up SPF
    An explanation and instructions on how to create and use the appropriate SPF entry can be found in our FAQ article "What is a SPF entry and how must it be designed?".
  4. Setting up DMARC (OPTIONAL)
    An explanation as well as instructions on how to use DMARC can be found in our FAQ article "What is DMARC and what is this record used for?".
  5. Setting up DKIM (OPTIONAL)
    To set up and use DKIM for your domain, please read our FAQ article "What does DKIM do for me and why should I use it?".
  6. Connect your mail server to EuropeanMX
    Please read our FAQ entry "How do I set up the outbound filter of EuropeanMX for my domain?". You can also find some instructions for different MTAs in our FAQ to set up the outgoing filter on your mail server.

Configure and activate Archiving (OPTIONAL)

Please note: Archiving is only available to you if you have booked this option with us. Please contact our support if you have any questions.

  1. Activate archiving
    In our FAQ article "How can I set up the archive function for my domain?" you will find instructions on how to activate incoming filtering.
  2. Settings for archiving
    What settings you can make and what effects they have is described in our FAQ article "How can I make the settings for archiving and what options are available?".
  3. Exclude certain mailboxes (OPTIONAL)
    If you want to exclude certain mailboxes from archiving, please read the FAQ article "How can I exclude certain mailboxes from archiving?".
  4. Check archive status (OPTIONAL)
    Under "Archiving" > "Status" you can check the current status of your archive stores and enable or disable archiving.
  5. Search inbound and outbound archive (OPTIONAL)
    In our FAQ article "How can I search for archived messages?" you will find a description of how to search for archived messages.
  6. Set journal for internal messages (OPTIONAL)
    If you also want to archive internal messages, you have to make special settings for Exchange on your mail server. Instructions can be found in our FAQ article "Is there anything to consider with Exchange (2010 - 2016) or Office 365 regarding archiving (journal)?".
