How can I save storage space? Can I allow messages to expire?


All messages that have been recognized as legitimate by the filter are stored in your domain's archive. If your memory is insufficient, you have the option of letting older messages expire or changing the indexing settings.


Allow older messages to expire

Go to "Archiving" > "Settings" and check the option "Messages expire" and enter a number of days that a message should remain stored. Older messages that are no longer needed can be automatically removed from the archive if the storage space is insufficient.


Adjust indexing settings

In the same menu item, you also have the option of specifying which parts of a message EuropeanMX should archive. The following options are available for this:

  • Message Header
    Searches for text in the header name or in the value of the message. For example, if you are looking for messages that have an X-Campaign header or have a specific name in the CC header. This setting only has a small impact on memory consumption.
  • HTML
    Searches the HTML version of the message. Many senders send their messages both in HTML and as a text-only version. We recommend leaving this option active so that messages that do not contain pure text messages can also be searched. This setting only has a small impact on memory consumption.
  • Text
    Searches the plain text version of the message (purely text-based). As some senders send the message without HTML or the text cannot be extracted from the HTML version, you should always leave this option active. This setting only has a small impact on memory consumption.
  • Images (using OCR)
    Searches the image for contained text. Images received by email are searched by EuropeanMX for contained text using OCR and the found text is added to the index. This setting has a large impact on memory consumption.
  • Attachments / Documents (.doc)
    Searches a Word document (Microsoft Word 2003 and earlier) for text and adds it to the index. This setting has a large impact on memory consumption.
  • Attachments / Documents (.docx)
    Searches a Word document (Microsoft Word 2007 and earlier) for text and adds it to the index. This setting has a medium impact on memory consumption.
  • Attachments / Documents (.pdf)
    Searches an unencrypted pdf document for text, which is added to the index along with some metadata (e.g. author and subject). However, images are not processed with OCR. This setting has a medium impact on memory consumption.

If the archive storage is still not sufficient, you can of course extend it. Please contact our support for this.
