How can I activate journaling in Exchange (2010 - 2019) and Microsoft365?


If you use EuropeanMX for both inbound and outbound email filtering (using the smart host setup), all external SMTP communication is automatically archived as part of the domain for which archiving is enabled. But Microsoft Exchange does not route internal communications through the outgoing smart host, so by default internal communications are not archived.

However, archiving internal communication is quite simple and can be done using the Exchange protocol system. The journaling system allows Exchange to automatically send a copy of all internal communications to an external email address. As long as you have set up the external email address with EuropeanMX for archiving, the EuropeanMX inbound filter will process the message and archive it. Configure the destination address to which the journaling reports are sent as a recipient in the whitelist. This means that there is no filtering for the received messages.

Find the global journal address

The global journal address can be found under Archiving > Status. Make sure that archiving is activated.


If the address ends with @MX-record-hostname, please use @mx1.europeanmx.eu instead.



Configuring Journaling in Microsoft Exchange 2010

Open Exchange Management Console EMC > Organization Configuration > Hub Transport > Journal Rules.

Right click and select New Journal Rule.

Enter the global journal address in Send Journal reports to e-mail address.

Select Internal Scope.

Select Journal messages for recipient and select the Dynamic Distribution Group for your domain.


Configure Journaling in Exchange 2013/2016/2019

Log into the Exchange Admin Center (EMC).

Go to Compliance Management > Journal rules.

Enter a valid email address to receive journal failure alerts.

Click on the plus sign (+) and create the journal rule as follows:

  • Send journal reports to: Enter the global journal address noted from the ArchiveStatus (see above).
  • Name: Give the rule a meaningful name.
  • If the message is sent to or received from: Choose Apply to all messages.
  • Journal the following messages: 
    • Select Internal messages only if you are using the inbound and outbound filter for your domain. 
    • Select All messages if the domain is only archived.


Configure journaling in Exchange Online (Mircosoft 365)

Log in to the Microsoft Purview portal.

Go to Solutions, then select Data lifecycle management on the left-hand side and click on Exchange (legacy).

Open the tab Journal rules.


If you have not set up an alternative mailbox for the messages that are not to be journalised, click on the link in the warning above to access the Settings. Now enter a mailbox as an alternative address that is not created in Exchange Online and to which the NDRs are to be delivered.

Now copy the global journal address, which you can find in EuropeanMX under Archiving > Status.


If the address ends with @MX-record-hostname, please use @mx1.europeanmx.eu instead.

Add a new rule in the tab Journal Rules of Exchange Online by using the button + New Rule.

Enter the following information:

  • Send journal reports to: Paste the previously copied global journal address of EuropeanMX from step 4 here.
  • Journals rule name: Enter a recognisable name for the rule, e. g. "EuropeanMX Journaling".
  • Journal messages sent or received from: Select whose messages should appear in the journal
    • Everyone
    • A specific user or group
  • Type of messages to journal: Select which messages should be journalised
    • All messages
    • Internal messages only
    • External messages only


If you use the incoming and outgoing spam filter of EuropeanMX, then you should only select Internal messages only. If not, you can select All messages.

Click on Next.

Check the journal rule again and then click on Submit.
